What is a 履歴書 (rirekisho)?

The 履歴書 (Rirekisho) is a standardized document used in Japanese job applications to present your basic profile — including education, work history, certifications, and personal details. It gives employers a quick overview of who you are.

 

Unlike the Shokumukeirekisho(職務経歴書), the Rirekisho is not meant to show your professional strengths in depth, but rather to confirm key facts about your background and readiness for the role.

 

Think of it as your formal application cover sheet:

  • Where and when did you study or work?
  • What licenses or certifications do you hold?
  • Can you commute to the company location?
  • When are you available to start?
  • What are your preferred working conditions?

Hiring managers use the Rirekisho to screen for eligibility and formality. It is often the first impression, so neatness, accuracy, and completeness are very important.

Tips for writing a Japanese Resume (履歴書)

❶  Include All Basic Information

Start with:

  • Full name (in katakana, if possible)
  • Date of birth
  • Current address
  • Phone number and email address
  • A recent photo (passport-style, with plain background)

Tip: Keep the tone professional and consistent with Japanese business norms.

❷  Keep it Simple & Clear

The 履歴書 is not the place to write long explanations. It’s more like a formatted summary sheet, sometimes resembling a cover letter in tone but much more concise. Use clear, polite language and standard formatting.

❸  Customize For Each Company

Avoid reusing the same 履歴書 for every job. Hiring managers will notice. Instead:

  • Tailor your 志望動機 (shibō dōki・statement of interest)
  • Highlight relevant experience for each role
  • Align with the company’s industry and values

❹  Fill Out Every Section

Never leave a field blank. If something doesn't apply to you, write:

 

「特になし」 (“None” or “Not applicable”)

 

This shows attention to detail and respect for formality.

❺  What Employers Are Really Looking For

Beyond your education and work history, hiring managers also evaluate:

  • Location: Can you commute reliably to the office?
  • Job Stability: Have you changed jobs frequently?
  • Relevance: Is your previous experience connected to their business or industry?
  • Value: Do your skills and background add value to their company?
  • Compatibility: Do your salary/working condition expectations match their terms?
  • Detail Orientation: Are there typos or formatting issues?

Your resume is often viewed as a reflection of your professionalism and cultural readiness.

❻  Make the 志望動機 (Shibou Douki) Count

This section is critical. It’s where employers ask:

  • Do you understand our business and mission?
  • Can we picture you as part of our team?

Use this space to connect your motivation with the company’s purpose. Show that you’ve done your research and have a sincere reason for applying.

Think of the 履歴書 as your first impression. A strong, well-prepared resume won't get you the job on its own—but a sloppy one can immediately disqualify you.
